Processing restriction

This article explains how to work with creating processing restriction request.
General steps
Find subject in subject database using search bar located in navigation pane.
When you find your subject click on New request and select Processing restriction.
New request is created at the bottom of the page in "Request History" table.
Tip
Continue to Request detail. You are able to set received date and deadline for processing the request. “Request receive date” is usually date when request was created, and deadline is 30 days after received date. In this step you are able to change these dates.
Next, you need to select the type of processing restriction by clicking one. When dates are set, click on Initiate request review to continue working with request.
If you decide to cancel or decline request, click on respective buttons. To finish canceling or declining request, you need to fill pop up window with a comment to describe reason for such activities.
In next step you need to select subject's recognized personal data and click on Begin records review.
At this step, you can also extend the deadline for processing your application. To confirm the extension, it is necessary to fill in the pop-up window with the reason and set a new date for settlement.
Notify
If you want to set request to erase recognized personal data, click on document to review it and choose Notify. If there is more than one document, you are able to choose NOTIFY ALL option at the bottom of the document. Also, status of each document is changed.
You are able to leave a comment for keeping selected data. Comment that was filled in will be visible in PDF export. This action is optional.
After reviewing the document, click on Finish review button.
For every document, separate task is created and displayed at the bottom of the page.
You can mark task as high priority. In this step, the Administrator or DPO has to make changes to the selected document (or documents).
After performed actions, data admin can complete task right from request view by clicking on Notify or he can use tasks view in navigation pane, search for the task and completed it from its detail.
For each document separate window about request will pop up and clicking on Complete, requests are labeled with check mark.
When all tasks are completed request is now in the “Finishing” state, and all the information about the task data are displayed in a table. At this step, you can download the justification text (you can use template or make changes right in text window) as PDF.
Window with information about PDF export will pop-up and you can select PDF language and choose identifiers that will be included in file.
Clicking on Download PDF file is automatically downloaded to your computer and you can complete the request.

The request is in the "Completed" state and all the information about the request is displayed in a transparent table.

Ignore
If you want to set request to ignore recognized personal data, click on document to review it and choose Ignore. If there is more than one document, you are able to choose IGNORE ALL option at the bottom of the document. Status of each document is changed.
After reviewing the document, click on Finish review button.
The request is now in the “Finishing” state, and all the information about the task data are displayed in a table. At this step, you can download the justification text (you can use template or make changes right in text window) as PDF.
Window with information about PDF export will pop-up and you can select PDF language and choose identifiers that will be included in file.
Clicking on Download PDF file is automatically downloaded to your computer and you can complete the request.
Notice
The PDF document containing the request information can only be downloaded in the "Finishing" step. Before completing the request, you will be notified of the option to download this file.

Delegate
In some cases completion of request may not be responsibility of logged in user. You can delegate task of request to other authority.
Click on document to review it and choose Delegate. If there is more than one document, you are have to set all documents to this setting. Also, status of each document is changed. You can leave comment as reason for delegation. For saving the comment click Save.
After reviewing the document, click on Finish review button.

For each document separate window about request will pop up. Data Admin has to decide which action should be performed over each document. Clicking on Complete, requests are labeled with check mark. Authorized person can choose if request should be Erased, Kept or Masked.
After choosing one of these three options, action type is changed from Delegate to Erase or Mask (to Keep information in document, no task is need to be created).
Click on Action type and choose Complete if all task are executed.
The request is now in the “Finishing” state, and all the information about the task data are displayed in a table. At this step, you can download the justification text (you can use template or make changes right in text window) as PDF and request data as XLXS.
Window with information about PDF export will pop-up and you can select PDF language and choose identifiers that will be included in file.
Clicking on Download PDF file is automatically downloaded to your computer and you can complete the request.
Notice
The request is in the "Completed" state and all information about the request is displayed in a transparent table.
